1. Acceptance of Terms

By accessing or using TrustRegister's identity verification orchestration platform ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these terms, you may not access the Service.

TrustRegister Limited ("we", "us", or "our") operates the Service. TrustRegister is not affiliated with Companies House and is an independent software provider.

2. Description of Service

TrustRegister provides an orchestration platform for Companies House identity verification, including:

  • Import and management of company and officer data
  • Workflow orchestration for identity verification processes
  • Integration with identity verification providers
  • Evidence collection and retention services
  • Compliance reporting and audit trail generation

3. User Responsibilities

Account Security

  • Maintain the confidentiality of your account credentials
  • Notify us immediately of any unauthorized access
  • Use multi-factor authentication when available
  • Regularly review and update access permissions

Data Accuracy

  • Ensure accuracy of data provided to the Service
  • Maintain up-to-date contact information
  • Verify Companies House data before processing
  • Report any data discrepancies promptly

Compliance

  • Comply with all applicable laws and regulations
  • Obtain necessary consents for identity verification
  • Use the Service only for legitimate business purposes
  • Respect intellectual property rights

4. Service Levels

Availability

  • Target uptime: 99.9% (excluding planned maintenance)
  • Planned maintenance windows: Sundays 02:00-06:00 GMT
  • Emergency maintenance: As required with advance notice when possible

Support

  • Business hours: Monday-Friday, 9:00 AM - 6:00 PM GMT
  • Response times: 2 hours for critical issues, 24 hours for general inquiries
  • Support channels: Email, phone, and in-platform messaging

5. Data Processing

Our data processing practices are detailed in our Privacy Policy and Data Processing Agreement.

  • You remain the data controller for verification invitations
  • We act as joint controller for evidence retention (7 years)
  • All data processing complies with GDPR requirements
  • Data is hosted exclusively in UK/EU data centers

6. Intellectual Property

TrustRegister IP

The Service and its original content, features, and functionality are owned by TrustRegister and protected by international copyright, trademark, and other laws.

User Content

You retain ownership of data you upload to the Service. You grant us a license to process this data solely for providing the Service and meeting retention requirements.

7. Payment and Billing

  • Fees are charged monthly or annually as per your selected plan
  • All fees are exclusive of applicable taxes
  • Payment is due in advance and non-refundable
  • We may suspend service for non-payment after 7 days notice
  • Price changes require 30 days advance notice

8. Limitation of Liability

Important: To the maximum extent permitted by law, TrustRegister shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business interruption.

Our total liability for any claim shall not exceed the amount paid by you for the Service during the 12 months preceding the claim.

9. Indemnification

You agree to indemnify and hold TrustRegister harmless from any claims arising from:

  • Your use of the Service in violation of these Terms
  • Your violation of any law or regulation
  • Your violation of any third-party rights
  • Any data you provide to the Service

10. Termination

By You

You may terminate your account at any time by contacting us. Termination will be effective at the end of your current billing period.

By Us

We may terminate or suspend your account for violation of these Terms, non-payment, or if we cease operations.

Data Retention After Termination

Evidence packs will be retained for the full 7-year period regardless of account termination to ensure compliance with Companies House requirements.

11. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

12. Changes to Terms

We reserve the right to modify these Terms at any time. We will notify you of material changes via email or through the Service. Continued use after changes constitutes acceptance of the new Terms.
